WHAT DATA IS COLLECTED

The video surveillance system collects video from cameras placed in areas controlled by ReOrbit. Cameras are set up in a way that allows individuals to be identified by their face. The surveillance system records video that shows movements of individual persons within the premises and dates and times of those events. Only certain areas are covered by video surveillance.

PURPOSE OF PROCESSING PERSONAL INFORMATION

Personal information is collected in video recordings when the person is within ReOrbit premises. The purpose of the recording is to

  • Collect evidence or provide information for investigation in case of burglary, theft or other security or safety related incident.
  • Determine the identity of persons accessing the premises (e.g. confirm who has used a key to enter the office, or to identify a suspicious visitor).
  • Provide real-time situational view to a 24/7 security services provider responding to burglar alarms.

Video surveillance will not be used to any other purposes than the above, or the purposes mentioned in the law.

LEGAL BASIS FOR PROCESSING PERSONAL INFORMATION

ReOrbit has a legitimate interest in protecting its assets and ensuring the safety and security of its premises. Video surveillance is implemented in accordance with the requirements of Finnish and EU law.

SCOPE OF VIDEO SURVEILLANCE

The video surveillance system covers entrances to the premises and secure areas, main hallways and other similar non-work areas, and specific valuable assets. Cameras do not capture video from individual desks, break rooms and similar areas.

DATA RETENTION

Video recordings are stored at most for 12 months. Selected recordings can be retained longer as permitted by law when investigating an incident or used as evidence.

ACCESS AND SHARING OF PERSONAL INFORMATION

Video recordings can only be accessed by specifically authorized persons and the security services provider for the purposes listed above. All persons and the security services provider are bound by a non-disclosure agreement.
Data is stored securely in Finland.
Video recordings are not shared and transferred to other parties, except to authorities when required for criminal investigation purposes.

RIGHTS OF THE INDIVIDUAL BEING RECORDED (DATA SUBJECT)

Asthe data subject, you have right to:

  • Access and obtain a copy of your data on request;
  • Request the organization to change incorrect or incomplete data;
  • Request the organization to delete or object to processing your data, for example where the data is no longer necessary for the purposes of processing;
  • Ask grounds for processing of your data;
  • Exercise your right to data portability, i.e. right to receive your personal data in a structured, commonly used machine-readable format and transmit your personal data to another data controller, to the extent required by applicable law.
  • File a complaint to Data Protection Ombudsman regarding the processing of the data

THE RIGHT TO FILE A COMPLAINT

If you think there is a problem with the way your personal data is being handled, you have the right to file a complaint to the Data Controller.
In addition, the data subject has a right to file a complaint regarding the actions of the Data Controller to the national data protection authority in the EU/EEA. CHANGES

We may update this privacy policy from time to time in order to reflect, for example, changes to our practices or for other operational, legal or regulatory reasons.
